Booking a housing estate community centre

Please ensure you are familiar with our terms and conditions below, before hiring a venue.

Bookings 

There are two types of bookings:

  • private booking – a one-off booking
  • regular booking – bookings made for four weeks or more; if you make a regular booking, you would receive a discount from us

There is a minimum booking required of at least one hour. If you need a centre for an hour and a half, you will need to book it for two hours.

Discount

If you are an Ealing Council tenant, you qualify for a discounted price. During the booking process, please submit your address as proof you are an Ealing Council tenant.
We also have discounts for businesses, non-for-profit groups and other regular hirers. You can learn more by contacting the resident involvement team.

Payment

The best method is by paying online. We do require full payment to process the booking. Once your booking has been confirmed by a member of the resident involvement team, you will be sent an email with a link to our online card payment system. Open the link and follow the instructions on how to pay. We also accept cheque, but we do not take payment by cash.

How to make a booking

The hirer must be 18 years or over. At the time of booking you will need to provide the date you wish to book, and agree to our terms and conditions.

To secure the booking the ID verification will have been completed, and you will be required to make the full payment before the event.

Cancellation

If you are a: 

  • private hirer you must give seven days’ notice if you wish to change your booking
  • regular hirer and:
    • we cancel your venue, we will do this no more than twice in one month and you will be given two weeks’ notice
    • you wish to amend your event, you need to contact the resident involvement team before your event happens

What to expect with a booking

Every community centre has a kitchen or kitchenette, toilet, and disabled toilet. There are kitchen appliances such as ovens, stove tops, microwaves and hot or cold water. We do not allow cooking on the premises; you may only warm up food.

You will have to provide your own drinks and your own plates and cutlery. Alcohol is allowed on the premises, but you are not allowed to sell alcohol.

All centres should have tables and chairs to match the capacity of the facility.

Once payment has been made and the booking confirmed, you will be invited to collect the keys for the venue from Perceval House. You must return the keys on the date specified by the team.  

Your responsibility during your hire period

As per the terms and conditions:

  • no one can enter the premises until the approved start time specified on your booking confirmation; your times will be monitored to ensure you enter and leave the premises as agreed when you booked – please allow for additional time for setting-up, cleaning, and packing up in your allocated booking time
  • you can decorate the room but do not use tape or pins and please clean up all decorations so that the space is left in a clean and tidy manner – do not hang decorations from fans and lights for health and safety reasons
  • bouncy castles are not allowed
  • when booking, please ensure that you allocate enough time to set up and clean up as this is included in your booking period; you are responsible for ensuring the community centre you have booked is left in a clean and tidy state
  • the person who has booked the hall is responsible for the health and safety of the users during the allocated period they have hired the hall; the resident involvement team carry out regular inspections to ensure all the community centres are compliant with health and safety regulation
  • during your hire period, you should carry out a risk assessment of your own and ensure you know how to evacuate the building in an emergency.; the resident involvement team will provide you with a guidance checklist to complete for the duration of your hire period
  • you will be charged £60 if you lose the key – please contact the resident involvement team as soon as possible if you lose your key

Problem?

If you arrive at the centre and the space is left in a messy or unacceptable condition, please take photos for evidence as soon as you get there and send them to the resident involvement team.
