What kind of information do you collect about me?

Our partner SDK Environmental Ltd currently collect, process and provide the council with the following information:

  • full name, address and contact details
  • location of found dog
  • collection address
  • if you are the owner and the dog is chipped, or has a collar with a tag, we will collect the information on the chip and or tag (name, contact information, last registered address of found dog)

How we get the personal information and why do we have it?

Some of the personal information we process is provided to us directly by you for one of the following reasons, to log:

  • where the dog was found
  • the details of the finder
  • the collection address of the found dog

We also receive personal information indirectly, from the following sources in the following scenarios:

Vets - Where you have found a dog and taken it to a vet. Finders details are required in case of any investigation into the ownership of a dog. For example, if the dog is registered as stolen or a banned breed.

Under the Environmental Protection Act 1990 we require the information for the lost or stray dog process. The information you provide will only be used for these purposes and we will only contact you should we require further information. All of your information will be processed in accordance with the General Data Protection Regulation (GDPR) and will only be used by us and our partner providing the dog kennelling service to deliver or improve this service. We will not disclose any personal information to any other third parties unless required to do so by law.

We may share this information with:

  • Our contractor and their kennelling provider
  • External call centres
  • The police
  • RSPCA

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information under Article 6 are: 

  • (b) We have a contractual obligation
  • (c) We have a legal obligation
  • (e) We need it to perform a public task

How we collect personal information and where we collect the information from

Examples include, information provided:

  • by you on the telephone or by email
  • to us by veterinary practices
  • to us by registered microchipping agencies

It is necessary for us to process your personal data (name, address) under the GDPR for compliance with a legal obligation under the Environmental Protection (Stray Dogs) Regulations 1992.

Your personal data may be requested by the police if an investigation is required, regarding a stolen dog or a status dog (banned breed).

Your personal data may be passed to the RSPCA if the Council believe a dog has been mistreated or harmed.

How we store your personal information 

Your information is securely stored on our IT systems and manual filing systems. We have strict procedures for the way this is done. All information about you is treated as confidential and with respect. 

We keep the information received from SDK when carrying out a stray dog collection for 6 months. We will then dispose your information by deleting the received file.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information. This is called a subject access request
  • Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete
  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances
  • Your right to withdraw consent - You have the right to withdraw consent for the processing of your personal information
  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances
  • Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances
  • Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances

You are not required to pay any charge for exercising your rights. If you make a request, we have 1 month to respond to you.
