Park hire
Planning on holding an event?
If you are planning to hold an event either in a park or on the public highway it is important that you inform the festivals and events team at Ealing Council.
This will ensure that:
-
your event does not clash with existing bookings and activities in the area
- the team can assess your event to ensure it is suitable, safe and does not cause undue nuisance to others
- the team has the opportunity to inform other departments and external agencies about your event
For all events the council may insist upon the submission of supporting documentation such as evidence of insurance, risk assessments and event management plans before granting permission for you to hold your event.
The guide for event organisers should be used in conjunction with other guidance and discussion with the festivals and events team.
Events in Ealing's parks
If you want to hold an event in an Ealing park please download and complete the park hire application form (word) and send to the festivals and events team.
Applications should be made a minimum of six weeks in advance of the date of hire.
Please note: Larger events and those requiring a license may need longer before permission is granted.
Applications may have to go through a consultation process whereby they are sent for approval and discussion by local councillors, residents associations and other affected parties.
We may also ask the organiser to provide a refundable deposit to the council to safeguard the condition of the park or open space. This would be in addition to the park hire fee.
Events that include activities such as dancing, musical performances and the sale of alcohol will require a licence. This is a separate application process to hiring of the park. The festivals and events team will be able to advise further on this issue after seeing your completed application.
Please note: Warren Farm is Ealing borough's principal sports ground. Only event bookings that are ancillary to sports fixtures will be considered on this site - assessed on a case-by-case basis.
All hires are subject to Ealing Councils terms and conditions.
Street events or processions
If you wish to hold a street event or procession please download and complete the streets event application form and send to the festivals and events team.
Street event applications should be made a minimum of ten weeks in advance of the event.
For road closures the events team will connect you to the highways department to facilitate and advise on traffic management. All road closures may be subject to administration costs from highways and the events team, in addition to other possible costs for advertising the road closure.
Please note: The organiser will be expected to source their own traffic management supplier and have to satisfy council safety criteria.
